The College of Europe Alumni Association is looking for a motivated, proactive and highly organised Administrative O icer to support the day-to-day functioning and activities of the Association.

The Association represents a global community of more than 19,000 alumni of the College of Europe. It works to strengthen connections among alumni, foster professional and intellectual exchange, support alumni initiatives across Europe and beyond, and maintain strong links between the alumni community and the College of Europe.

Working closely with the President and Board of the Association, the Administrative O icer will play a key role in the Association’s administration, communications, membership management and organisation of activities.

Main Responsibilities The Administrative O icer will:

  • Manage the Association’s general inbox, correspondence and day-to-day administrative tasks;
  • Administer Hivebrite and maintain membership records and the alumni database;
  • Support the Association’s communications and social media, including newsletters, visual content and basic video content;
  • Provide administrative and logistical support for events and alumni activities, including registration, participant communication and follow-up;
  • Coordinate administrative and financial documentation with the Association’s accountant;
  • Prepare minutes and supporting documents for Board and General Assembly meetings and assist with follow-up;
  • Liaise with the College of Europe, alumni, external partners and service providers on administrative and operational matters;
  • Contribute to the smooth day-to-day functioning of the Association.

Profile

We are looking for a candidate with:

  • Strong organisational and administrative skills, with the ability to manage multiple tasks, deadlines and priorities;
  • Excellent written and verbal communication skills;
  • A proactive, reliable and solution-oriented approach, with the ability to work independently and take initiative;
  • Strong interpersonal skills and the ability to work e ectively in an international and multicultural environment;
  • Good knowledge of social media and digital communication tools;
  • Ability to prepare engaging written content as well as basic visual and video content;
  • Familiarity with Canva or similar visual-content tools and basic video-editing skills would be an asset;
  • Good command of standard o ice and collaborative digital tools;
  • Strong attention to detail, accuracy and discretion, particularly when handling membership data, financial documentation and internal communications;
  • Good event organisation and coordination skills;
  • A professional and service-oriented approach when interacting with alumni, Board members, institutional partners and other stakeholders.

Fluency in English is required. Knowledge of French is an asset. Knowledge of additional European languages is an advantage.

Previous experience with an alumni network, membership organisation, association, higher education institution, European a airs organisation or another international environment would be considered an asset.

  • A six-month fixed-term, part-time contract (60%), with the possibility of continuation subject to mutual agreement;
